The company behind this site. Vectis Works makes software, data systems and shop-floor dashboards for manufacturing businesses, working from 100 Powell Place #1170, Nashville, TN 37204. What follows describes how we treat personal information that reaches us through getvectisworks.com, and through the business email Vectis Works sends. "We", "our" and "us" all refer to Vectis Works.
Who we write to, and when
People whose jobs connect to our work. Our messages go to people in manufacturing companies who hold roles related to what we do, for example the person responsible for operations, a plant, engineering or IT. We write to their work email address. Once in a while we may instead phone a business number or post a letter to a business address.
Only when it could be useful. We get in touch when we believe what we do might be relevant to that company, and not otherwise. Anyone who asks us to stop gets exactly that.
What we know about you
You at work. Name, job title and employer; the work email address and business phone number; and a link to a professional profile, when one can be found. About the company: its name and website, the industry it is in, its size, and where it is located, including the business address.
What companies publish. Public signs of business activity, such as a job posting, a news story or a public post.
Deliverability checks. Whether an email address is able to accept mail, tested before we write so that messages do not bounce.
Our exchanges. Messages you send back to us, and the notes we make about any conversation with you.
Visiting this site. Nothing here sets a cookie, and no analytics run on these pages. The company hosting the site keeps the usual technical logs, browser type and IP address among them, to serve pages and guard against misuse. Our typeface comes from Google Fonts, and loading it passes your IP address to Google.
Nothing sensitive. We do not collect sensitive information: no government ID numbers, no bank or other financial account numbers, no health details.
Where it comes from and what we do with it
Three kinds of source. Material that is already public, on professional networking profiles, news sites, job boards and company websites. Companies that sell business contact details and company data. And you, whenever you answer one of our emails, send us a form or talk with us.
Why we use it. First, to decide if our services could make sense for your company, and then to reach you at work about them. Before any email goes out, we confirm that an address is valid. What you tell us lets us answer you and, when you want it, talk through or deliver our services. It also lets us maintain the do-not-contact list, protect our systems and comply with the law. We don't track whether you open our emails.
Who else sees it, and for how long
Not for sale. We never sell or rent personal information. Nor do we hand it to other businesses to market their own products, or pass it on for targeted advertising.
Companies working for us. Some firms see this information because they do work on our behalf: those that run our mailboxes and send our email, check email addresses, supply business data, host our systems and store our data. Each is allowed to use it for one purpose only, delivering its service to us.
When the law or safety calls for it. We disclose information to authorities or other parties if a law requires us to, or where that is needed to protect rights, property or safety.
If Vectis Works changes hands. Should the business be sold or restructured, the information may pass to the buyer or successor, who has to go on protecting it in line with this policy.
How long it stays. Business contact details remain on file while they help us contact businesses, and stale records get deleted or brought up to date. Records about clients are held for the length of the work, and for whatever further period our legal and accounting duties require. We hold do-not-contact entries while we continue to contact businesses, since that is what keeps an opt-out working.
Keeping it safe. Only people who need the information can get to it, and we apply reasonable safeguards, both technical and organizational. Even so, no one can promise that information is perfectly secure, and we make no such promise.
Saying stop, and your other rights
How to stop us. Answer any of our emails and say you want no more. The words don't matter. If we reach you by phone, telling the caller works too. We act on it promptly, and never later than 10 business days after you ask.
Why your address stays on a list. We then add your email address and name to the do-not-contact list, where they remain. That way, if your details turn up again from some other source, we still know not to contact you.
Seeing, fixing and erasing your information. You may ask what we hold about you and which source it came from. You may ask us to correct it, or to erase it. If you ask for erasure, we still keep your do-not-contact entry, because without it we could not go on honoring your opt-out.
State law. Privacy laws in some states, California among them, can give residents further rights: to know what is held, to correct it, to delete it, and to opt out of having it sold or shared. We neither sell nor share it in that sense. Exercising any of these rights will not change the way we deal with you.
Making a request. Send it by answering any email we sent you, through the Vectis Works contact form, or by letter to our Nashville address. To check that a request really comes from you, we may ask which email address we wrote to. We answer within the period the law allows. You may also have an authorized agent make the request for you.
Other points
Under 18. What we offer, and what we send, is meant for businesses. We do not knowingly gather information about children or anyone else under 18.
Our location. We are a US business, and the businesses we contact are in the US too. Your information is handled in the US, and in any other country where one of our service providers operates.
Updates. Whenever this policy changes, the effective date shown at the top changes with it.
